JOB SUMMARY We are looking for a self-motivated and high-energy team member to take on multiple marketing, administrative support, and business development duties for a group of high performing sales professionals in a faced-pace commercial real estate office. This person must have the ability to quickly shift gears and coordinate a multitude of tasks within a busy, modern downtown office. This role requires a marketing, business development and administrative professional that can manage, understand, and interpret the multiple functions in high level real estate sales. ESSENTIAL DUTIES AND RESPONSIBILITIES 1) Administrative and Correspondence Coordinates complex on/offsite meetings and conferences Schedule appointments, keep calendars and arrange travel itineraries and meeting room reservations for sales professionals Tracks, collates and maintains inventory of marketing materials 2) File Process (Listing and Deal Cycle) Gather property information from Sales Professional and process listing when obtained Monitor listing status and renew listing when expired Ensure correct listing documentation is drafted and executed with various listing templates (Listing Agreement, Representation Agreement, Commission Agreement, Confidentialities, Co-Broker, Etc.) Coordinate and process deal files with all required documents and vouchers for closings Monitor closing process and timeline 3) Marketing Responsibilities Maintains CBRE brand, product, office and client messaging and consistency by applying templates to produce marketing materials including flyers, brochures, proposals, tour books, maps, floor plans and qualification packages Organizes the preparation and production of customized, client specific property information packages in response to Requests for Information (RFIs) and Requests for Proposals (RFPs) Create and update property Marketing contact lists Property Email Blasts – Monitor stats, contacts, and schedule Maintain/update listing information through property pages on CoStar/Loopnet Prepare and send out property and holiday mailers Maintain individual and team website Prepare and update case studies Order and remove signage Acts as point of contact and liaison between the team and the CBRE Property Marketing Studio for highly customized marketing materials 4) Business Development Coordination of preparation of tour packages for Clients with direction from the team Assist in lease proposals preparation and responses Assist in preparing request for proposals and responses 5) Financial Excel experience preferred Code monthly expenses through PeopleSoft Other duties may be assigned. SUPERVISORY RESPONSIBILITIES No formal supervisory responsibilities in this position. EDUCATION and EXPERIENCE Associate's degree (A.A.) or equivalent from 2-year college required. 3 years experience providing administrative support to multiple or team of professionals; ability to determine and respond to conflicting priorities preferred. 2 years experience in the Real Estate industry. Adobe InDesign experience preferred. CERTIFICATES and/or LICENSES None. COMMUNICATION SKILLS Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, coworkers and/or supervisor. Ability to effectively present information to an internal department and/or large groups of employees. FINANCIAL KNOWLEDGE Requires knowledge of financial terms and principles. Ability to calculate intermediate figures such as percentages, discounts and/or commissions. Conducts basic financial analysis. Ability to abstract a lease. REASONING ABILITY Ability to comprehend, analyze, and interpret documents. Ability to solve problems involving several options in situations. Requires intermediate analytical and quantitative skills. OTHER SKILLS and ABILITIES Advanced skills with Microsoft Office Suite, internet research and web publishing skills. Ability to manipulate basic templates in Power Point and/or InDesign preferred. Strong marketing knowledge needed. SCOPE OF RESPONSIBILITY Decisions made with thorough knowledge of procedures and company policies to achieve set results and deadlines. Responsible for setting own project deadlines. Errors in judgment may cause negative impact to internal and external clients.
