The Calhoun School, a leading progressive, independent, co-educational day school in Manhattan, seeks a Director of Administrative Services and Auxiliary Programs to begin on July 1, 2019 or sooner. Reporting to the Head of School and based at the school’s main building at 81st Street and West End Ave., the Director of Administrative Services and Auxiliary Programs will oversee the School Office, Food Services, Nurse and 81st Street Library. The incumbent will also assume responsibility for oversight, programmatic development, marketing and evaluation of auxiliary programs, including after-school programs for Calhoun students, summer day camps for both Calhoun students and a wider audience, and facility rentals to individuals and groups. This is a new position on the school’s leadership team. The successful candidate will demonstrate an entrepreneurial spirit with energy and ambition to develop ensure efficient operation of current administrative operations while conceiving and implementing new programs to support the school’s mission and generate additional revenue. ESSENTIAL DUTIES AND RESPONSIBILITIES include but are not limited to the following: Administrative Services - Oversee the operations of the school office, ensuring that the school’s core administrative functions and record keeping are organized efficiently to meet the needs of the school, staff, students and families. The office staff oversees the school calendar, lower/middle school grades and exmissions, attendance records, bus transportation arrangements, mail and package handling.
- Refine and manage the system for maintaining the school’s master calendar, including annual planning and facilities reservations.
- Oversee the in-house Food Service program at 81st Street.
- Supervise the School Nurse and Health Office.
- Oversee the 81st Street Library.
Auxiliary Programming - Oversee operations of Calhoun’s after-school programming for its lower and middle-school students - including existing and new after-school enrichment programs and aftercare programs.
- Oversee development and operation of summer camps that serve Calhoun students and a wider audience, furthering the school’s mission and philosophy while generating additional revenue. Evaluate both hosting opportunities for third-party camp operators and development of Calhoun-branded experiences.
- Develop protocols for use of Calhoun’s facilities - including its gym, theaters and multi-function space - by individuals and outside groups in order to further the school’s mission, foster and support mission-enhancing institutional partnerships and generate non-tuition revenue.
- Develop detailed medium- and long-term plans - including marketing plans - for the evolution of auxiliary programming that supports Calhoun’s mission and philosophy.
- Collaborate closely with administrators in business, admissions, development, facilities and communications offices as well as academic divisions to ensure that auxiliary programming supports and enhances the school’s overall mission and operations.
- Manage all communications related to marketing and operation of auxiliary programming, in coordination with the school’s communications office.
- Ensure that all auxiliary programs are coordinated with and supported by operations units including facilities, IT, security, maintenance, billing and food services.
- Work with the program directors and school nurse to develop safety and health protocols in coordination with school risk management plan, as well as ensure that program staff are trained in health and safety policies, as appropriate.
School Leadership - Supervise at least five direct reports (Office Manager, Librarian, Director of Food Services, Director of After-School Programs and Nurse), ensuring compliance with all human resources policies and procedures.
- Collaborate closely with colleagues across the school, ensuring a high level of communication and collegiality.
- Attend Leadership Team and other school meetings and conferences, as required.
- Engage in the wider life of The Calhoun School, engaging with its students and families and displaying a strong commitment to, belief in, and alignment with Calhoun’s mission and values.
