Summary for the Legal Recruiting Assistant
The Legal Recruiting Assistant will work closely with the Legal Recruiting Manager and the Legal Recruiting Specialists on implementing administrative support Firm-wide for non-partner attorney recruiting initiatives.
Essential Duties and Responsibilities include, but may not be limited to, the following. Other duties may be requested and/or assigned. Maintain the recruiting database, ViRecruit, and complete the data entry of all applicants into the database; post non-partner attorney job openings on ViRecruit, LinkedIn and other job boards. Monitor recruiting inboxes, respond to job requests and enter applicant data accordingly. Generate correspondence at various stages of the recruiting process. Assist with running summer and lateral attorney recruiting reports through ViRecruit.
Maintain search firm database. Draft, send and upload new search firm agreements. Process search firm fees for lateral attorney placements.
Assist with the annual NALP form completion process and the annual Affirmative Action Plan reporting process for all offices.
Assist with on-campus interview logistics. Upload law student candidate materials to ViRecruit. Assemble Firm materials for campus and lateral recruiting initiatives. Process expense reimbursements for campus and lateral recruiting activities.
Assist with Charlotte summer associate and lateral recruiting, including attending Charlotte summer associate social events as needed. Coordinate registration and all logistical details for the 1L LCLD annual conference.
Prepare and update welcome packet communications and forms for summer associates and first-year associates. Administer bar preparation course registrations and payment,
Bar Exam registrations, relocation reimbursements and stipends for all incoming associates. Handle background and conflicts checks for all summer and first-year associates.
Participate in internal meetings and calls within the Legal Recruiting Department. Actively contribute to Legal Recruitment planning and strategy.
Perform special projects for the Director of Legal Recruitment as needed.
Knowledge, Skills and Abilities
Bachelor’s degree is required; one or more years of attorney recruiting experience, in a large law firm or professional services environment is highly preferred.
Must be willing to work occasional overtime, especially during peak recruitment season and attend all evening the summer associate program events.
Computer proficiency in Outlook, Microsoft Word, PowerPoint and Excel for formatting graphs, charts and other visual methods of presenting information. Knowledge of viDesktop/viRecruit is preferred.
Excellent interpersonal, verbal, and written communication skills. Ability to communicate with courtesy and diplomacy, efficiently follow written and verbal instructions, provide information, and maintain effective relationships with a diverse group of attorneys, candidates, clients, professional staff, and outside contacts.
Exceptional organizational, planning, and project management skills including record keeping, data collection, and system information. Ability to compile and analyze data and furnish concise, detailed information in report format, written correspondence, e?mail, or verbally.
Exhibit high degree of initiative in managing multiple priorities simultaneously in a fast-paced, deadline-driven, detail-oriented work environment. Ability to work with frequent interruptions and adapt to changes in workflow.
Dependable team player with high energy, creativity, and vision who works collaboratively and cooperatively with others in a team-oriented environment. Ability to act independently within scope of the position’s responsibilities as a decision-maker and contributor on all levels.
When required, ability and availability to travel in connection with on-campus recruiting and law school outreach.
