People's Energy Cooperative is a Touchstone Energy® cooperative with nearly 23,000 services in southeast Minnesota. We have an excellent opportunity for a full-time Executive Assistant in our Oronoco, MN office.
Duties will be providing administrative support for the President/CEO and executive staff including coordinating meetings, recording minutes at meetings, scheduling appointments, preparing documents, writing drafts of correspondence, operating guides, and policies; creating PowerPoint presentations, and handling a variety of situations involving the clerical and administrative functions of the office to assure timely, effective and adequate support for the staff.
Provide administrative support for the Board of Directors to include recording the minutes of meetings, keeping calendar current, and making travel arrangements and conference reservations to assure adequate and timely arrangements for attendance at such meetings.
Prepare drafts of Board meeting agendas and reports, distributes reports and other information to the Board of Directors for the President/CEO, and coordinates schedules and presentations of key performance area reports, strategic goal reports, Board policy reviews and other reports to the Board of Directors to be presented by the President/CEO and designated executive staff members to help ensure strategic goals of the Cooperative are met.
Drafts correspondence requiring knowledge of the views and philosophy of the President/CEO, Cooperative policy, Cooperative operations, and some understanding of technical matters to ensure the Cooperative is perceived in a positive manner.
Keeps fully informed of the executive staff members’ schedules and commitments, anticipates the need for information, and provides support to permit him/her to effectively perform daily work, special projects, and address key issues.
Assists the President/CEO in scheduling appointments and meetings and in managing time, correspondence, and files to assure proper care and attention is given to these items.
Responsible for the corporate filing system of the Cooperative to ensure all records are maintained properly and accessible as needed.
This position requires high school diploma or equivalent with a degree in business administration or equivalent experience required. At least five years of experience preferred in executive administrative office support. Excellent communication and human relations skills required along with experience developing professional correspondence and reports.
Must possess advanced computer skills in Microsoft Office products and be able to quickly become proficient in the Cooperative’s enterprise software and other specialized software as needed. Must continually keep informed of changing technology to properly perform the objectives of this position. Must meet any job related written, verbal or physical tests as may be required by the Cooperative. Must have good organizational skills, excellent written and verbal communication skills, and the ability to interact effectively with employees, members and the public.
