JOB SUMMARY The purpose of this position is to provide building maintenance support to a portfolio of buildings. This role is responsible for the efficient and effective scheduling of all proactive work types (i.e.; PM, PdM, CM, CBM) to maximize technician productivity and minimize customer business interruptions. May be responsible to assemble some or all components of a Job Package, including: safety requirements, documentation, parts/materials, specialty tools and equipment, job plan/tasking and assignment of labor/resources, etc. ESSENTIAL DUTIES and RESPONSIBILITIES Analyzes work orders by size, urgency, skill set, location, complexity, and available manpower.
Assists operations teams by issuing work orders in a sequential flow to individual technicians or work teams. Coordinates the engagement and direction of appropriate subcontractors.
Reviews and evaluates backlog list of work and applies work prioritization methodology to determine schedule. When applicable, coordinates to ensure area access/equipment availability. Applies time estimates. Reviews schedule with Supervisor if applicable and dispatches work.
Develop, maintain and distribute work flow processes to the entire account team documenting how work is planned, scheduled and executed.
Focuses on scheduling future work in order to provide the Maintenance Department with an acceptable amount of backlog that is planned and ready to schedule. Performs daily backlog management principles including database clean up, work status updates, work organization, backlog forecasting / reporting, etc.
Keeps accurate metrics on the performance of work management functions. Provides regular statistical reporting to the management team and client showing quantities evidence of the productive use of the work force.
Uses guidelines set by management to develop, implement, and manage preventive maintenance and life cycle optimization strategies.
Performs annual review of preventive and predictive maintenance programs to insure current work order system library contains correct frequencies and balanced 12 month schedules for all technicians and vendors.
Determines appropriate predictive maintenance tasks. Trains the work force in the use of predictive maintenance techniques. Analyzes predictive maintenance data for trends. Initiates corrective actions as appropriate.
Approaches all aspects of the work to be performed with safety as the highest priority, in accordance with CBRE Health, Safety and Environmental policies. Ensures the work also complies with all legislative requirements, quality standards and sustainability and energy efficiency related procedures.
May be requested to support the CMMS Manager with current equipment tag/asset ID numbers and related asset data.
Continuously improves the job packages by receiving feedback from technicians, maintenance supervisors, maintenance leads, production supervisors, engineers, planners, and customers.

EDUCATION and EXPERIENCE High school diploma or general education degree (GED) Required. Minimum of four years of related experience and/or training.
CERTIFICATES and/or LICENSES None. Valid driver's license, if driving required in conjunction with job duties. Facility Management and CFC certification is desired.
COMMUNICATION SKILLS Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor. Ability to effectively present information to an internal department and/or large groups of employees.
FINANCIAL KNOWLEDGE Requires basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages.
REASONING ABILITY Ability to understand and carry out general instructions in standard situations. Ability to solve problems in standard situations. Requires basic analytical skills.
OTHER SKILLS and ABILITIES Intermediate skills with Microsoft Office Suite, Outlook, and intranet/internet. Ability to use work order system.
