Position Summary: In coordination with the Deputy Director, the Senior Manager is responsible for the planning and execution of all WTSI’seventsand implementation of all WTSI’s marketing.This position will ensure the high-quality event experience consistent with WTSI’s reputation and will manage marketing andmaintaining a consistent brand presence for WTSI across all channels. The Manager will coordinate across departmentson content, design and marketing of events from concept to completion. Working in a hybrid environment, the Manager will execute virtual events using digital platforms and in-person meetings on-site and on location in various cities across North America.The Manager will work closely with the Membership & Chapter Relations Department to highlight and promote member benefits and chapter activities.
Essential Duties and Responsibilities:
Work with Executive team to plan and execute all WTSI meetings,events, and conferences.
Assist the WTS Foundation [c(3) entity of the Association] with its events and campaigns.
Assist in creating Request for Proposals for event vendors
Assist in review of hotel proposals, contract development and administration for WTS conferences, receptions, and trainings (Approx. 6 events a year)
Maintain relationships with vendors, hotel brokers, hotel contacts and volunteers for meeting and program logistics
Manage on-site event support including set-up, online registration. Oversee execution of travel logistics and travel awards, serve as on-site liaison as needed
Assist in contract management and ensure contract deliverability by vendors
Assist in planning event sponsorship opportunities and deliver on agreement details
Manage event databases, creating reports, and provide analysis to senior management on class/event success measurements, etc.
Manage logistics, food and beverage orders, banquet orders, hotel reservations, and other tasks as assigned.
Manage event registration payments and tracking of revenue
With Executive Support execute WTS Events on budget and on time
Assist in general improvements, maintenance and strategy of event management platforms like Cvent, mobile apps, and registration systems; including: aiding users in navigating the platforms, troubleshooting, updating information, and creating new content
Assist in upgrading platforms and software for event management. Maintain knowledge of communications best practices and newest technology for association event communications.
Execute WTSI’s organizational marketing strategy. Assist the WTS Foundation [c(3) entity of the Association] with its marketing.
Content and Strategy
Work with WTS departments to develop professional content on behalf of WTS. Content includes both hard copy and digital assets
Oversee communicationsand marketing to external stakeholders including monthly NewsBrief newsletter
Works across departments to develop automated and drip marketing messages through association management software (ACGI Association Anywhere)
Assists with content delivery for WTS International and WTS Foundation events
Marketing & Media Relations
Assists in planning and oversees implementation of marketing strategies for all WTS events and initiatives
Ensure WTS and event brand consistency in marketing of events
Promotes WTSI meetings and events to increase engagement and participation
Oversees production of program collateral and marketing materials
Drive membership engagement through social media
Assist in developing graphics, sourcing content, and placing ads
Execute WTS Social Media and Content Plan/Calendar
Identifies ways to leverage website as a marketing and informational vehicle to drive traffic to WTS and to make the information useful to potential members, sponsors, industry partners and policy makers
Manage general website improvements, maintenance, and strategy of the WTS website. Including: aiding Chapter Leaders in navigating the website, troubleshooting, updating information, and creating new content
Manages member portal (Higher Logic) to promote connectivity between members, establish communities of collaboration, and ensures platform benefits of knowledge sharing and strategic curation of content for Knowledge Lab
Manage Career Center and relationship with third-party vendor NAYLOR
Manages Engagement Specialist, Digital Design and Data Analytics
Work Environment and Physical Demands: While performing the duties of this job, the employee is regularly required to sit and use hands to finger, handle or feel. The employee is frequently required to talk or hear. The employee is occasionally required to stand, walk, reach with hands and arms and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision. The noise level in the work environment is usually moderate.

Qualifications: The ideal candidate will possess a Bachelor’s degreein marketing, communications, advertising, hospitalityor program management with an excellent work record. Must have 5+ years of related experience in marketing, conference or program management. Excellent communications skills and attention to detail. Experience designing or creating program materials and/or organizational branding a plus. Must have 2+ yeas supervisory experience.
