A Mail Services & Supplies Specialist receives and sorts incoming mail and packages for campus distribution and analyzes outgoing correspondence and packages for the most efficient method of shipment. Performs clerical and administrative support duties. This position presents the opportunity to work alongside peers who are versatile, enthusiastic, and continuing to strive to push AECC and our mission forward.
Sorts and distributes mail throughout the organization and ensures that correct postage is on all out-going mail.
Determines causes for returned mail and contacts originating department for clarification.
Opens invoices, date stamps, and distributes to correct department via regular mail or electronic delivery.
Oversees mail center equipment, i.e., postage meter and Xerox machine located in mail services. Call for service, order supplies, and daily maintenance.
Records departmental postage expenses and provides monthly reports for invoicing.
Orders supplies for mail center & various departments copy paper, letterhead, envelopes. Maintain records for invoicing. Negotiate pricing.
Establishes delivery schedules for interoffice mail pickup and delivery. Ensure adherence to delivery and mailing deadlines.
Provide information regarding mail services to campus community (schedules, holiday, rate increases, etc.).
Runs daily errands for the cooperative outside the main office building such as going to the post office, airport, bank, etc.
Maintains knowledge of special mailing requirements and ability to make recommendations for most efficient method of delivery. Familiar with USPO bulk mailing process.
Ensures pickup and delivery of UPS, Federal Express, courier, or special delivery packages received at back dock.
Maintains knowledge of current USPS regulations, rate increases, holiday schedules and compliance with all mandatory US Postal policies/procedures, including FedEx Hazardous Materials shipments.
Assists departments with special mailing needs, binding equipment, and requisition of office supplies.
Adheres to the cooperative copier contracts, coordinates the copier service, and supplies and communicates with copier service provider for both cooperatives.
Maintains effective working relationship with departments and delivery services to insure efficient workflow.
The ability to handle stress and work well with others are essential functions of this position.
High School Diploma or GED, plus 1 years related experience and/or training, or equivalent combination of education and experience.
Valid Driver’s License with safe driving record.
Excellent customer service skill and professional attitude.
Strong organizational skills and attention to detail.
Proficient with Microsoft Outlook, Word, and Excel.
