The Assistant to the Admissions Office will provide general administrative support to the Admissions Office and staff, particularly under the guidance and direction of the Director of Admissions and Enrollment Management, throughout all stages and aspects of the admissions, application and enrollment process.
OVERVIEW OF RESPONSIBILITIES:
The Assistant to the Admissions Office will receive and welcome and greet families, guests and student visitors; receive and respond to all visitors, calls, and general inquiries; process inquiries and admission applications; perform data entry and maintenance; track and manage inquiries and applicants, and run reports utilizing Veracross; prepare correspondence; assemble bulk mailings; provide necessary preparation and support for admissions, retention and enrollment events throughout the year; maintain admissions marketing and application supplies; maintain office supplies; demonstrate and maintain applicant and family confidentiality throughout.
SPECIFIC JOB FUNCTIONS:
Receive and manage all phone, drop-in, and online inquiries in a friendly, welcoming manner, conveying comprehensive knowledge of the David’s application process and school community
Be prepared to answer frequently asked questions about the school and each division, the application process, and financial aid, as well as educational philosophy, academic offerings, athletic and fine arts opportunities, student life, etc.
Maintain a marketing/customer service approach in all communications
Assemble application packets and maintain adequate supply
Manage the Veracross database as it pertains to all inquiries and applicants
Process and send out weekly inquiry, applicant, and associated follow-up mailings
Create applicant files
Provide necessary preparation and support for all Admissions, Enrollment/Re-Enrollment, and Retention events throughout the year
Participate in off-site Admissions and/or Marketing Events as needed, greeting prospective families, and distributing materials
Provide necessary preparation and support for admissions testing and/or assessment days
Provide necessary preparation and support New Student Orientation
Enrollment and Re-Enrollment – assist in the set-up, management, implementation and processing of online enrollment and re-enrollment through Veracross, including developing and maintain enrollment specific queries and weekly reports as needed
Maintain and update departmental surveys, e., New Family, Exit and Declination
Assist in the preparation of statistics as requested by the Director of Admissions and Enrollment Management as required for reporting
Maintain and order office supplies and storage
Manage promotional and give away inventory and storage
Complete and follow up on requests for maintenance (tech, office equipment, )
Be available to tour families and guests, as needed
Perform errands on and off campus, as needed
Provide general administrative support to the Admissions Office and Admissions staff, particularly the Director of Admissions and Enrollment Management
Provide proficient utilization of Veracross/Axiom, Word, Excel, PowerPoint, and mail-merge for letter, label, and nametag preparation
The Assistant to the Admissions Office is a full-time position. Holidays, vacation, and leave are given in accordance with the Guidelines for 12-month staff and administrative employees.
The ideal candidate will possess a bachelor’s degree and relevant employment experience in admissions, marketing, customer service, or administration. Two to five years administrative experience required; experience in admissions or independent education highly preferred. Candidate should be welcoming and friendly, possessing excellent oral and written communication skills, as well as interpersonal skills. The candidate must be highly detail-oriented, with excellent organizational skills, and must be capable of working independently. Candidate should have experience using Microsoft Office, Excel, database software, and Outlook. Experience with use of Veracross/Axiom software highly preferred. The ideal candidate will be knowledgeable about St. David’s School and/or the greater Raleigh independent school community.

Knowledge of admissions processes and operations, preferably in an independent school environment
Working knowledge of and experience with databases, data entry, query design and management of data is required. Experience with Veracross/Axiom highly preferred.
Proficiency with Microsoft Office products
