Job Overview:
The administrative assistant is an integral role at St. Thomas School, providing critical support for the Directors in the form of planning, scheduling, communicating, and many other tasks which make a school succeed.
General responsibilities:
- Provide administrative support to the Directors by scheduling meetings and conferences, managing the Directors calendars, and communicating with parents and teachers as needed.
- Maintain and update student and employee records, and input rosters and class schedules into student information system
- Provide clerical and logistical support for professional development, DCYF licensing regulations, student field trips and special events
- Manage the scheduling of and provide guidance to substitutes
Required Education, Training & Experience:
- High School Diploma or GED required
- Bachelors degree from a 4-year college or university preferred
- 3+ years experience working in an office environment
- Experience with school focused technology (Senior Systems, FinalSite, SchoolPass) preferred
Required Knowledge, Skills & Abilities:
- Excellent verbal and written communication skills
- Proficient at working in a Microsoft Windows environment, including Office 2010 or higher, Outlook and Teams
- Ability to master common automated systems for record keeping and confidently learn new technology
- Excellent calendar and time management skills
- Excellent problem-solving skills, including the ability to research and recommend solutions in support of the Directors
- Excellent customer service skills
- Ability to work collegially and collaboratively with the receptionist and other administrative assistants, ensuring a welcoming office environment for all
- Ability to maintain confidential information
