The Accounts Payable Specialist performs all accounting and data entry tasks related to the processing of accounts payable transactions.
Assist in the complete accounts payable process, including, but not limited to: verifying accuracy of invoices, assuring proper authorization, data entry of invoices, creation of checks/ach files, mailing of checks, scanning check, invoice, and backup documentation copies, reconciling credit card statements and employee expenses.
Enter invoices to be paid into the computer with correctness and accuracy.
Update subsidiary systems such as transportation, work order and depreciation with invoice information; and scanning/filing all associated documents.
On a monthly basis review all invoices for proper sales tax and prepare the state sales tax form for payment.
Assist with the monthly reconciliation of various cash accounts.
Responsible for balancing several prepayment accounts.
Calculate all municipal and franchise taxes and prepare them for payment.
Responsible for verifying daily posting of the cash register and bill payment systems.
Balance monthly transportation system; add/remove vehicles from fleet records.
Secure necessary title, plates, registration and file vehicle tax for all fleet.
Provide data and documentation for Finance Committee review on a monthly basis.
Prepare and process expense and per diem checks.
Maintain vendor files and W-9 forms. Annually will prepare 1099 forms and report unclaimed property.
Interact with billing department to verify daily recaps and other billing postings to the general ledger system including uncollectible account payments, returned checks and member deposits.
Assist billing department with payment processing.
Assist in updating the account receivable system by entering invoices, processing payments and balancing to the general ledger.
Provide assistance to Accounting team during audits.

High School Diploma or GED required.
Associates degree in Accounting preferred.
1-3 years AP experience preferred.

Excellent computer skills and data processing skills.
