Administrative Coordinator Direct Supervisor: Head of School, Head of Lower School, Head of Middle School FLSA: Exempt Type: Full-Time Employee
The Administrative Coordinator provides administrative support to the Head of School, Head of Lower School, and Head of Middle School. Works closely with the School’s Administrative Team and Board of Trustees in managing the administrative operations for the Head of School Office.

Duties and Responsibilities:
Provide administrative support to the Head of School, Head of Lower School, and Head of Middle School, including but not limited to calendar management, event planning and coordination, record keeping, and project management
At the request of the Head maintains files, correspondence, and various other records and documents with confidentiality
Support various administrative duties including organization and scheduling of professional development, assemblies, and certain academic special events, etc.
Support the management of substitutes and changes to the schedule that require coverage of classes from other employees
Manage administrative needs for standardized testing including coordination, scheduling, and distribution of materials
Coordinate with the Business Office for ordering of classroom supplies, testing materials, etc.
Manage all administrative activities in support of the Board of Trustees. Prepare meeting schedules, organize and coordinate meeting logistics, assist with document and presentation preparation, and provide appropriate follow-up after meetings
Answer and appropriately respond to emails, phone calls, or visitors and prioritize response when necessary
Work closely with the Advancement Department and the Facilities Department to support events, off-site and on-campus
Responsible for event management related to the academic life of the school - back-to-school nights, graduation events, etc.
Manage various projects and liaise with various departments in the execution of recurring projects and/or complex tasks
Actively participates in the full life of the school; demonstrating interest and passion to engage in professional development; is a life-long learner who enhances their skills, using technology to maintain high standards of performance
Performs other duties as assigned
Skills, Knowledge, and Qualifications
Administrative support experience with a thorough knowledge of office methods, management systems, procedures, practices, and equipment
Administrative support experience at a school is a plus, but not required
Excellent time management skills and ability to switch between tasks and prioritize work
Attention to detail and problem-solving skills
Strong organizational and planning skills
Aptitude to learn new systems, software, and platforms including student information systems
Strong proficiency in a Windows environment and with Google Workspace/MS Office
High level of confidentiality and discretion
The Administrative Coordinator is a year-round position.
