Job Summary:
Under minimal supervision, the Director of Facilities is responsible for the supervision, oversight, planning and directing the facility operations of University Prep, ensuring safe, efficient, and secure operation of the buildings and grounds of the school. The position manages all aspects of support for the facilities and grounds including preventive, predictive and operational maintenance; janitorial; negotiating and management of repair and service vendors; campus safety and security including crisis management planning; and event coordination with departments across campus. This position reports to the Assistant Head of School for Finance and Operations, and also works with the Head of School and Building Committee of the Board of Trustees in support of the strategic planning of facilities.
Specific Responsibilities:
Facility Maintenance
Ensures policies and practices provide a safe, secure, and well-functioning school facility and grounds
Oversees preventive maintenance, repair, and renovations of school facilities and grounds
Manages work order request system requests by building users, prioritizes requests, and distributes to team members for completion
Manages regular cleaning of the school provided by contracted janitorial services
Procures facilities services by developing a statement of work, soliciting, and analyzing bids, negotiating terms, and ensuring the fulfillment of service providers contract obligations, including quality control of their work
Proactive assessment, development, and implementation of a regular preventive maintenance on all building systems, including, MEP, roofs, finishes, safety and monitoring systems, and other equipment
Ensures compliance with local, state, and federal, regulatory requirements, work safety regulations. Oversees inspections of all building systems as needed for compliance (boiler, fire alarms, elevators, etc.)
Manages vehicle fleet preventive maintenance, repairs, and replacement in collaboration with the Transportation Manager and Athletic Director
Maintains fiscal and organizational management of the department, including preparing and monitoring the facilities operating budget as well as the capital renewal (PPRRSM) budget, and consistent monitoring of performance against budget
Collaborates with Assistant Head of School for Finance and Operations to develop and execute strategy for maintenance and operation of the school facility (master planning, sustainability, energy management)
Responds to weather or facility related emergencies (24/7)
Supervisory/Administrative
Hires, supervises, mentors, and trains a highly dedicated team to oversee and anticipate facilities needs for a busy school environment
Responsible for personnel management, including performance evaluation
Serves as staff support for the Buildings Committee of the Board of Trustee
Project Management
Proactively identifies necessary capital projects and major repair work, documents in the capital forecast model, and makes recommendations for completing work through the budgeting process
Manages capital projects of various sizes including negotiating contracts, coordinating construction schedules, and working with all parties to complete high quality, on time and on budget projects
Facility Use
Manages facilities support of campus events including, setup, break down and cleanup of facilities
Sustains relationships with neighborhood, P-Patch (community garden), Temple Beth AM, and City of Seattle (Dahl Field) relating to facilities
Coordinates parking lot use and classroom use with Temple Beth Am
Collaborates with program leadership to understand special needs and maintain quality of support to the mission
Safety and Security
Manages the safety and security of the school campus
Chairs the Safety Committee, schedules meetings, and reports on overall safety and security concerns
Schedules, conducts, and tracks fire, lockdown, earthquake, and any other necessary drills. Follows up on any observations and recommendation with Safety Committee and Senior Leadership Team
Oversees the tracking and replacement of emergency supplies throughout the campus
Maintains records for CPR certifications of all employees and schedules group trainings
Oversees traffic control with regards to student parking, student drop off and pickup, and any special events that may take place on campus
Collaborate with Assistant Head of School for Finance and Operations to maintain and implement any changes to the Executive After Crisis Action Plan and implement safety/security enhancements
General
Establishes and cultivates community relations by maintaining open dialogue with all of the school’s constituencies
Vigorously engages in professional development; is a life-long learner who enhances their skills, using state-of-the-art technologies to maintain high standards of performance to efficiently and effectively produce work products
Is familiar with and complies with all policies and regulations as put forth in the school’s documents
Performs other duties as assigned
Required Education & Experience:
Minimum of 5 years of demonstrated facilities management experience and a Bachelor’s degree required, OR in lieu of a college degree, candidate must have a minimum of 10 years of demonstrated facilities management experience
3+ years of facilities supervisory experience required
Experience in a school environment preferred
Proven personnel management skills and contractor/vendor management experience, with aptitude to judge quality of performance in major technical trades and personal experience in at least one technical trade (carpentry, mechanical, electrical, structural)

Proficient at working in a Microsoft Windows environment, using Office, including Outlook; ability to master common automated systems for record keeping, and confidently learn new technology; experience with school-focused technology is a plus
Ability to talk on the phone
Ability to acquire Washington State Flagger certification necessary in official traffic control duties
Ability to sit and keyboard
Ability to work a flexible day-to-day work schedule
Ability to walk regularly, bend and stoop, and stand for prolonged periods of time
Ability to work in confined areas (i.e., crawl spaces, attics) and heights (i.e., rooftops, ladders, scaffolding etc.)
Ability to work outside in all weather conditions
Ability to lift up to 60 pounds
Ability to handle and work proficiently with common hand and power tools, screwdrivers, saws drills, wrenches, and hammers
Compensation & Benefits:
Salary is $120k-$150k based on education and years of experience. This is an academic year position plus two weeks over the summer.
