The Membership & Chapter Senior Coordinator manages AESP (Association of Energy Services Professionals) membership payments, individual memberships, group roster management, membership reports, member troubleshooting; supports membership recruitment and retention; provides administrative support to AESP chapters and chapter leaders.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Membership
Records incoming payments (checks) on daily spreadsheet and AMS (Association Management System).
Files/scans corporate documents, records and reports
Pulls paid receipts and matches to daily finance report
Updates member database and audits group spreadsheets.
Develops and maintains membership reports.
Sends monthly renewal invoices for individual & group members
Coordinates onboarding program for new and renewed individual and group members by preparing welcome emails, welcome packets and on-going onboarding communications.
Registers members and non-members for trainings and conferences.
Responds to all messages through the AMS system either directly or forwards to the responsible staff member.
Job posting management on the AESP Career Center.
Coordinates with other staff to generate membership reports for AESP staff and Chapters.
Supports the VP of Member Engagement with membership recruitment and retention efforts, to include development of sales tools and resources and member lead lists.
Chapter Management
Prepare and send chapter membership rosters to AESP Chapter board members monthly.
Prepare and send quarterly chapter status reports.
Provide support to AESP chapters with event registration, management and marketing.
Coordinates scheduling of quarterly Chapter Leadership meetings.
Update AMS with chapter membership information.
Supports the VP of Membership with AESP chapter programs and the Membership & Chapter Committee.
Various administrative duties.
Other Administrative Duties
Sends monthly list to Finance Manager of point usage for trainings, job postings, and marketing.

Highly proficient in digital services and software including Microsoft Office, webinar and online meeting programs, survey tools, CRM / member database, content management systems for awards and abstracts

EDUCATION and/or EXPERIENCE
Four-year degree plus 3+ years’ experience in non-profits and/or membership supportor equivalent combination of education and experience.

Ability to think logically using common sense.
Ability to communicate clearly and succinctly with colleagues and members as well as speakers and moderators.
Ability to speak effectively before groups of customers or employees of the association.
MATHEMATICAL SKILLS
Able to apply concepts such as fractions, percentages, ratios and proportion to practical situations.
REASONING ABILITY
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
Ability to define problems, collect data, establish facts and draw valid conclusions.
