Reporting to the CFOO, the Director of Auxiliary and Summer Programs is responsible for the strategic planning, operations, program design, market development, promotion, budgeting, and evaluation of Derby Academy’s academic year Auxiliary Programs and Summer Programs.
For Summer 2025, the Director will oversee and ensure the successful execution of programming established by the outgoing Director of Auxiliary and Summer Programs. Following Summer 2025, the Director will lead the evaluation and development of program offerings for Summer 2026 and beyond.

Responsibilities
Strategic Program Development
Build vibrant programs that support the school's mission and program, build Derby’s exposure to the wider community and achieve annual and long-term net revenue growth targets.
Collaborate with school leadership, administration, and division heads to ensure that auxiliary programs align with and support Derby’s mission and philosophy;
Design, enhance, and expand program offerings that align with the long-term strategic auxiliary programs vision and financial objectives;
Continually explore innovative opportunities for supporting school admissions and building the school's exposure in the independent school market;
Annually seek and analyze input from participants and staff regarding the quality of their program experience;
Seek to identify partnerships that may enhance auxiliary program potential;
Supervise and support direct reports: Summer and Auxiliary Programs Associates and After Care staff and after school music teachers.
Program Management
Ensure that Auxiliary and Summer Program participants have a safe and positive experience such that they return and/or recommend our programs to others.
Oversee and manage all auxiliary programs which includes: Primary/ Lower School (PK-3) and Middle School(4-5) After Care, Faculty Child Care on work days, after school instrumental program, and Fridays basketball programs;
Oversee and manage all summer programs, which includes: a 5-week summer multi-arts program and one week of speciality camps;
Provide an appropriately safe, caring, and enriching environment for all auxiliary and summer program participants;
Establish routines, provide positive guidance, and enforce policies and procedures in accordance with Derby’s stated values;
Provide ongoing training, supervision, support, and professional development of all auxiliary staff and summer programs staff;
Develop and oversee all safety and health protocols in coordination with school risk management plans. Annually apply to local Board of Health for summer programs licensing; enforce compliance with all state and federal regulations for running a licensed camp in Massachusetts.
Financial Management
Ensure that the Auxiliary and Summer Programs' financial performance meets or exceeds budgeted expectations
Prepare an annual budget covering all aspects of program revenues and expenses to ensure profitability;
Monitor revenues and expenses on a monthly basis, and in accordance with budgetary restrictions, for bottom-line performance across all programs;
Provide the Business Office with all the information necessary to complete the financials in an accurate and timely manner;
Establish appropriate compensation for all auxiliary and summer program employees in coordination with the Chief Financial and Operations Officer.
Marketing, Communication, and Recruitment
Effectively promote the programs so as to achieve enrollment and revenue targets.
In coordination with the Director of Strategic Initiatives and External Relations, develop and implement a comprehensive marketing strategy for all auxiliary and summer programs that aligns with the school's strategic branding initiatives;
Ensure that all auxiliary and summer programs have an effective and accurate internet presence including the website, social media, and digital marketing that align with the school's branding;
Plan and coordinate the publishing and advertising of program print collateral and schedules;
Manage all public relations and marketing initiatives including open houses, mailers, ad placements, and social media boosts to promote and communicate the programs to prospective and enrolled participants;
Write and distribute regular communications among auxiliary and summer program constituencies that effectively provide updated information and a sense of community;
Serve as primary recruiter to all programs and manage the activities of others charged with recruitment.
Administration and Operations
Ensure that the administration of the programs is efficient and effective,
Oversee registration for all auxiliary and summer programs; configure and manage sites in a customer relationship management database (“CampBrain”) for all summer programs, including registrants, staff and alumni;
Ensure the auxiliary database (Veracross) is accurate and comprehensive;
Prepare reports for, and communicate with, Derby’s CFOO to ensure awareness of auxiliary and summer program performance;
Provide the Head of School with monthly (verbal) reports regarding the state of auxiliary and summer programs;
Execute and oversee all contracts related to programs;
Ensure that all auxiliary and summer programs are in compliance with all applicable regulations of licensing and governing entities.
Human Resources
Hire and manage a stable, effective, customer-focused team.
Recruit, hire, and train all Auxiliary and Summer program employees;
Work with the school’s HR department to ensure that all necessary and required employment forms, including background checks, are completed and on file;
Coordinate and communicate payroll to the business office as needed;
Coordinate and conduct annual performance evaluations of all direct reports.
The Director should have the energy and ambition to manage and develop Derby Academy’s Auxiliary and Summer Programs to the highest degree of educational excellence. They should be organized, attentive to detail, and motivated by an authentic interest in the experience of the participants in the programs. They should be driven by an entrepreneurial spirit while being resourceful, innovative, forward-thinking, and committed.
The requirements listed below are representative of the knowledge, skill, and/or ability required to perform essential functions of the job:
5-7 years of experience in summer/auxiliary program management, including 3-5 years in a leadership role
Strategic thinker with the ability to develop and enhance mission-aligned programs
Commitment to fostering diverse, equitable, and inclusive communities
Proven ability to develop and manage budgets effectively
Strong project management, organizational, and analytical skills
Marketing expertise, including social media and digital platforms
Collaborative team player with the ability to engage with all levels of the community
Knowledge of youth development programming, regulations, and industry best practices
Excellent oral and written communication skills
Proficient with Microsoft Office, Google applications, database management, website development, and digital media
