Job Summary:
BB&N is seeking a full-time Operations Manager/Coordinator. Primary responsibilities are to provide coordination and administrative oversight for facilities operations planning, maintenance, and efficient operation of the Buckingham Browne & Nichols School facilities.
BB&N is comprised of over 300,000 square feet on approximately 15 acres. The budget for the Physical Plant is $3.3 million, with annual capital projects and special maintenance of $2M. Operations of the physical facilities include a wide array of services, including maintenance, environmental compliance, preventative maintenance, repairs renewal, and replacement, provisions of utilities and energy management, groundskeeping, custodial, fire and life safety, waste disposal and recycling, facility vendor management and logistical support for campus events.
Responsibilities:
The Operations Manager will work on the BB&N campus. Responsibilities for this position include:
Manage CMMS: Oversee and serve as the primary point of contact for the Operations Team’s work order system (FMX), supporting Facilities, Campus Safety, and Transportation departments.
Budget & Invoice Management: Process and manage department budgets and invoices, verify and reconcile financial data, and collaborate with vendors and internal departments to resolve discrepancies.
Financial Planning & Reporting: Support the preparation of operating and capital budgets, track expenditures, and assist in financial forecasting and reporting.
Utility Data Tracking & Reporting: Maintain precise records of utility bills, meter readings, and energy usage, generating reports for management review and BEUDO compliance.
Sustainability Initiatives: Assist in developing and implementing energy efficiency programs, waste reduction strategies, and other eco-friendly practices.
Compliance Documentation: Assist Facilities, Campus Safety, and Transportation teams in maintaining accurate records for regulatory compliance.
Space & Furniture Management: Support school departments with spatial needs, including procurement, allocation, and installation of office and classroom furniture.
Safety & Emergency Preparedness: Assist the Campus Safety Department in developing and maintaining fire, evacuation, crisis response, and contingency plans. Participate in emergency drills as required.
Customer Service & Support: Provide exceptional service to school employees, students, parents, visitors, and stakeholders by addressing facility-related inquiries and concerns.
Cross-Department Coordination: Work closely with various departments to assess and fulfill facility-related needs.
Project & Task Management: Perform additional facilities tasks and projects as assigned to support the school's operational goals—other duties as assigned.
Skills and Competencies:
The ideal candidate will have a Bachelor’s degree or equivalent in facilities management, business, or engineering, plus 5+ years’ experience in facilities, maintenance, or ongoing operations, including supervisory experience. Previous experience in an educational setting is desired.
In addition, the candidate should demonstrate:
Strong computer literacy skills, including technology related to planning/facilities project management and CMMS
Excellent organizational and planning skills.
Ability to problem solve and handle difficult and sensitive issues and resolve conflicts
Proven management skills in the area of personnel, time, cost, quality, facility, and property management
Strong customer service orientation, preferably in a non-profit, retail, educational, or hospitality environment
Dedication to the goal of creating and maintaining an authentic, inclusive community
Interpersonal skills to work effectively with a diverse group of people, including students, parents, faculty, and staff;
Interest in working in a child-centered environment
Good organizational, verbal, and written communication skills
Computer literacy with excellent Word, Excel, and database skills
Comfort with learning new software
Availability to be on campus on short notice for emergencies and other unforeseen facility needs
Ability to work independently and as a team member
